Privacy policy
Last updated 4 November 2026
This privacy policy explains how the Pawlytics app and the website at pawlytics.me collect, use, share and delete your information, and the choices you have. Your pet's medical records are sensitive, and we treat them that way.
1. Who we are
Pawlytics is developed and operated by Stafford DSouza, trading as The Paws Company (“we”, “us”). For any privacy question or request, email info@pawlytics.me.
2. What we collect
We collect only what the app needs to work:
- Account details: your email address and a sign-in identifier. Your password is handled by our sign-in provider and is never stored by us in readable form.
- Pet profiles: name, species, breed, date of birth, sex, weight, photo, allergies, chronic conditions, medications and vet clinic name and phone number, as you choose to add them.
- Documents you upload: photos or PDFs of lab results, ECGs, imaging and clinic notes, and the results we extract from them, such as markers, values, ranges and summaries.
- Assistant messages: the questions you ask the assistant, sent to generate an answer. Conversation history is kept on your device.
- Notifications: a push token for your device and your notification preferences.
- Diagnostics: when the app crashes or hits an error, a report with your device model, operating system and app version, the error, your IP address and your account identifier. For a sample of sessions, and when an error occurs, a recording of the app screens leading up to it, with text and images masked.
We do not collect your location, contacts, call logs, SMS, or advertising ID, and we do not collect or link persistent device identifiers such as IMEI or serial numbers. The app shows no advertising.
3. Device permissions
The app asks for each permission only when you use the feature that needs it:
- Camera: to photograph a report, only when you choose to take a photo.
- Photos and files: to upload an image or PDF, only the files you pick.
- Notifications: to tell you a report is ready and remind you about checkups. Optional.
You can turn any of these off at any time in your phone's settings.
4. How we use it
- To read your documents and show summaries, marker tables, health status and trends.
- To answer your questions in the assistant using your pet's profile and reports.
- To tell you when a report is ready and when a checkup may be due, if you allow notifications.
- To keep your account secure, fix crashes and keep the service running.
We do not sell your data, use it for advertising, or use your pet's records to market to you. We do not use your data for any purpose you would not reasonably expect from the features above.
5. AI processing
Documents and assistant questions are analysed by Google's Gemini AI model, together with relevant details from your pet's profile and past results so the reading fits your pet. Google processes this data on our behalf to return a result. We use Google's paid Gemini service, under which Google does not use your data to train its models.
AI output can be wrong. It is informational only and is not a diagnosis. Always consult your veterinarian.
6. Who we share it with
We share data only with service providers that run parts of Pawlytics for us, under contracts that limit their use of it to providing that service:
- Amazon Web Services: sign-in, database and document storage.
- Google: the Gemini AI model that reads documents and powers the assistant.
- Expo, Apple and Google: delivery of push notifications to your device.
- Sentry: crash and error reports, as described under Diagnostics.
We may also disclose data where the law requires it, for example to comply with a valid request from a public authority, or as part of a merger or acquisition, in which case we will tell you first. We never sell personal data.
7. Where data is processed
Your account, pet profiles, documents and reports are stored with Amazon Web Services in the Asia Pacific (Mumbai) region, in India. Diagnostic reports are processed by Sentry in the European Union. AI processing and notification delivery may take place in other countries, including the United States.
8. How we protect it
- All data travels between the app and our servers over encrypted HTTPS connections.
- Documents are kept in private storage that is never publicly accessible.
- Each time a document is shown, the app uses a signed link that expires after sixty seconds.
- Every request is checked against your sign-in, so you can only reach your own pets and records.
- Some data is cached on your phone so the app works offline; uninstalling the app removes it.
9. How long we keep it
We keep your account data, pet profiles, documents and reports for as long as your account is open. When you delete a pet or your account, the data is deleted straight away from our live systems. The exceptions, and how long they last, are listed under “What is kept” below.
10. Deleting your account and data
You can delete your Pawlytics account and all of its data at any time. Deleting is permanent; it is not a pause or deactivation.
In the app
- Open the Account tab.
- Tap Delete my account.
- Confirm with Delete everything.
Without the app
Email info@pawlytics.me from the address on your account with the subject “Delete my Pawlytics account”. We confirm the request came from you, delete your account and data as described below within 30 days, and email you when it is done.
What is deleted
- every document you uploaded, removed from our storage;
- all pet profiles, including the demo pet;
- all reports, extracted results and marker history;
- your profile, notification settings and device push token;
- your sign-in account, so your email and password can no longer be used to sign in.
In the app, your files and records are deleted first and your sign-in account last. If anything fails part way, the app tells you and you can try again. Deleted data cannot be recovered.
What is kept, and for how long
- On your phone: assistant conversations and offline copies live on your device, not our servers. Uninstalling the app removes them.
- Diagnostic reports: crash and error reports already sent to our diagnostics provider are kept for up to 90 days, then deleted automatically.
- Backups: deleted data may remain in backups for up to 7 days until they are overwritten.
- Legal records: if you email us, we keep a record that the request was received and completed, where the law requires it.
Deleting less
To remove one pet and all of its reports without closing your account, open that pet's profile, tap Edit profile, then Delete. This is permanent.
These steps are also at pawlytics.me/delete-account.
11. Changing your details
- Email or password: in the app, open Account, then Change email or Change password under Account security.
- Pet details: open the pet's profile and tap Edit profile to correct or remove any detail.
- Notifications: in Account, switch Report ready or Vet reminders off, or turn notifications off in your phone's settings.
12. Your rights
Depending on where you live, including under the UAE Personal Data Protection Law and the EU and UK GDPR, you may have the right to access, correct, delete or receive a copy of your data, and to object to or restrict certain processing. Most of this you can do in the app. For anything else, email info@pawlytics.me and we will respond within 30 days. You can also complain to your local data protection authority.
13. Children
Pawlytics is meant for adults managing their pets' care and is not directed at children. You must be at least 18 to create an account. We do not knowingly collect data from children; if you believe a child has given us data, contact us and we will delete it.
14. Changes to this policy
If we change this policy in a meaningful way, we will update the date at the top and tell you in the app before the change takes effect.
